The Ultimate Preparation Guide for Seasonal Rental Owners

Preparing a property for seasonal tenants requires a balance between hotel-style hospitality and rigorous home maintenance. With over 40 years of experience in the Palm Beach market, setting these standards upfront ensures high tenant satisfaction, protects your asset, and prevents mid-season maintenance emergencies.

Preparing your home for seasonal tenants requires careful coordination and keen attention to detail. As a property owner, your goal is to provide a seamless, high-value experience—much like a stay at a luxury resort. Providing a well-equipped, impeccably maintained property ensures happy guests, glowing reviews, and peace of mind throughout the season.

Step 1: Decluttering & Personalization

  • Personal Belongings: Remove all family photographs, personal items, and valuable knick-knacks.
  • Clear Surfaces: Keep kitchen counters, dressers, and bathroom vanities minimal and clutter-free to create an open, airy feel.

Step 2: Outfitting the Kitchen & Dining Areas

Equip the kitchen to comfortably serve a minimum of 8 guests:

  • Dinnerware & Drinkware: White everyday dishes, bowls, cutlery, and drinking glasses for 8. Include an assortment of wine glasses, highball glasses, and martini glasses.
  • Bar Accessories: Wine key, corkscrew, bottle stoppers, and shaker set.
  • Cookware & Small Appliances: Pots, pans, baking sheets, coffee maker, air fryer, toaster oven, hand mixer, and mid-sized food processor.
  • Prep & Utensils: Organized cooking utensils, a new knife block set, clean cutting boards, serving platters, and cheese boards.
  • Under-Sink Essentials: Mrs. Meyer's multi-purpose spray and hand soap, Dawn dish soap, Cascade dishwasher pods, household cleaners, and a 6-pack of new sponges.

Step 3: Linens, Bathrooms & Bedding

  • Bedding (Per Bed): Two complete sets of crisp white linens and pillowcases, a fresh duvet cover, and a decorative throw blanket placed at the foot of the bed.
  • Bathroom Towels (Per Bathroom): At least four new white bath towels, hand towels, and washcloths.
  • Guest Amenities: A new paper towel holder with a fresh roll, four new kitchen dish towels, boxed Dove soap (or Meyer's liquid hand soap) at each sink, and travel-sized shampoo and conditioner in every shower/tub.

Step 4: Maintenance, Tech & Supplies

  • HVAC Maintenance: Have all A/C units professionally serviced before occupancy. Supply a 6-pack of air filters per unit and replace them before arrival.
  • Electronics & Lighting: Equip every bedroom and living area with a flat-screen TV. Ensure remote controls are sanitized with fresh batteries installed. Replace burned-out lightbulbs throughout the property.
  • Cleaning Equipment: Provide a new vacuum cleaner (with extra bags), a mop and bucket or Swiffer (with replacement pads), Swiffer dusters, and a 12-pack of microfiber cloths.
  • Laundry Room Supplies: Everyday laundry detergent, bleach, fabric softener, and dryer sheets.
  • Paper Products: A 12-pack of high-quality toilet paper (Charmin or Cottonelle) and a 12-pack of Bounty paper towels.

Step 5: Pre-Arrival Deep Cleaning & Checklist

Before your tenants step through the door:

  • Deep Clean: Perform a comprehensive deep cleaning of the entire interior, including interior/exterior windows, bathrooms, appliances, and light fixtures.
  • HVAC & Vent Cleaning: Vacuum and dust all bathroom exhaust vents and A/C returns. Replace A/C filters.
  • Kitchen Refresh: Wipe down the refrigerator, place a fresh box of Arm & Hammer baking soda inside, clean the ice trays, and turn on the ice maker.
  • Utilities: Verify that the hot water heater is turned on and operating correctly.
  • Final Touch: Make all beds neatly and place fresh towels in each bathroom.

Step 6: Single-Family Home Additions

If renting a single-family residence, extend your focus to exterior upkeep:

  • Garage: Clear out, sweep, and organize storage areas.
  • Curb Appeal: Pressure-wash exterior walls, driveways, and walkways. Refresh landscaping with clean mulch and seasonal flowers.
  • Pool & Spa: Ensure all pool, spa, and heating equipment are fully serviced and in top working condition.

Final Arrival Information Sheet

Always leave a printed welcome page on the kitchen counter containing:

  1. High-speed Wi-Fi network names and passwords.
  2. Security alarm system instructions and key codes.
  3. Emergency phone numbers (property manager, plumber, electrician, and local emergency services).
